Student Visa Fees Explained
By Abhinav Jain – Founder, Gateway Educonnect | B.Tech, MBA | AI & Global Education Specialist
Having guided more than 15 years of students toward international education, I have concluded that there is a significant misunderstanding of student visa fees. Most families believe they are paying a single amount; however, in reality, the overall cost of a visa application is broken down into embassy and VFS fees, among other elements.
The UNESCO Institute of Statistics reported that more than 6 million students study abroad each year worldwide. In the same vein, according to the Institute of International Education (Open Doors Report 2023), in 2022-23, 1.3 million international students were in the United States alone. These statistics make it quite evident that student mobility worldwide is on the rise, and that the significance of studying student visa fees as a component of total study abroad costs is also rising.
In this guide, I will cover the full composition of student visa charges, the distinction between embassy and VFS charges, and the calculation of the actual visa application cost, using my work experience and a real example of students.
Introduction: Understanding Student Visa Fees Before You Apply
Students need to know that student visa fees are mandatory government and administrative fees required to process their visa before applying to any country.
During my counselling sessions, I usually encounter students who have already paid their tuition deposit but have failed to pay their student visa fees, which will, in the future, interfere with their financial planning. Visa payments are typically non-refundable and therefore constitute a significant component of your total study abroad costs.
Knowing how student visa fees are broken down is beneficial in that it aids you:
- Financial stress will not be experienced at the last minute because of awareness of the overall cost of the visa application.
- Avoid using the term' embassy fees' and 'VFS charges,' as they are two separate charges.
- Budget your study abroad plans more realistically and accurately.
What Are Student Visa Fees?
Student visa fees are the costs you pay to submit your student visa application. Such charges are mandatory and vary by country.
In my experience at Gateway Educonnect, I would always tell students to separate student visa fees from tuition and accommodation, since visa application costs are paid up front.

The general cost of the visa application includes:
- Embassy student visa charges are the fees you pay to the government to process your visa application and review your documents.
- VFS fees are administrative service charges for processing documentation, biometrics, and even appointment arrangements.
- Biometric charges, including fingerprinting and digital photograph taking, are used to identify a person.
- Registration fees, such as SEVIS (in the USA), are not included in basic student visa fees.
- Health surcharge (unless specified otherwise in the UK and some other locations) is a frequently compulsory addition to the cost of studying abroad.
All these will constitute your package of student visa fees.
Embassy Fees Explained
Due to official government and embassy charges, student visa fees are the primary source of revenue.
What Are Embassy Fees?
As part of your application to have your visa processed, the visa fee is paid directly to the immigration authority of the country through the embassy. Such charges are constant and apply to both approvals and disapprovals.
I personally witnessed the case when students were caught off guard and rejected because they believed they would get back the embassy student visa fees. We need to realise that these are not refundable fees and are included in the cost of your visa application.
What Embassy Fees Cover
The fees on the embassy student visa normally cover:
- Application processing - the immigration officers will scrutinise your documents and academic credentials.
- Background and security checks, including adherence to immigration policies and national security standards.
- The Visa decision-making process involves making the final decision on whether to approve or reject based on the eligibility criteria.
- Interview scheduling (where necessary), during which the embassy determines your true motive as a student.
These are the official student visa fees, which directly affect your visa application.

What Are VFS Charges?
We shall now know about VFS charges, which are not the same as embassy student visa fees.
Understanding VFS Charges
VFS fees are service costs to visa facilitation services that handle the logistics of embassies. Such centres make no decision concerning visas.
With time, I have realised that most students believe they can increase their chances of approval by paying higher VFS charges for premium services. This is incorrect. The administrative assistance charges in VFS are not related to visa decisions.
What VFS Charges Include
- The gathering and checking of documents, where employees take care of your file and ensure it is well organised before submission.
- Biometric submission assistance, which helps you capture fingerprints and photographs.
- Booking of the appointment schedules, where you can book your slots to submit the visa.
- Courier return services. This is where your passport is returned safely after processing.
- SMS and tracking notifications help you track the status of the application.
These VFS fees add to the total cost of visa applications, yet they are a necessity in most countries.

Total Visa Application Cost: What Students Actually Pay
When the students request me about the actual cost of a visa application, I clarify to them that the cost entails:
- Mandatory government charges include core embassy student visa fees.
- Mandatory VFS fees, which include administrative processing.
- Biometric service charges are set by each country.
- Country-specific registration fees, such as SEVIS, are not included in embassy fees for student visas.
- Health insurance premiums make studying abroad incredibly expensive, especially in the UK.
- Currency conversion fee that banks may incur when settling the international student visa fee.
A student of mine who is applying in the UK did not estimate the health surcharge correctly, and it has cost him a considerable amount in his visa application. I have since focused on master budgeting of student visa fees during each counselling session.

Country-Wise Approximate Student Visa Fees
Here are some of the approximate embassy student visa fees (they can vary):
|

|
Canada (Study Permit) |

|

Prices vary depending on the consulate and they might not cover the service cost of outsourcing partners. |
|
Ireland (Student Visa) |
Around €60–€100 |
Precise embassy fees vary with the country of origin; other charges of VFS can be charged separately. |
|
New Zealand (Student Visa) |
Around NZD 300–NZD 380 |
This is the fee of applying to immigration; VFS fees will increase the total cost. |
These fees are in addition to the other fees levied by VFS in most countries, which raises the overall visa application fee and the costs of studying abroad.
Common Mistakes Students Make While Paying Student Visa Fees
Here are the most typical errors that I have encountered in my 15 or more years of experience:
- It is based on the assumption that VFS charges are included in the embassy student visa fees, thereby contributing to under-budgeting.
- Covering the incorrect visa category fee has led to wasted time and an extra cost for the visa application.
- Not accounting for currency exchange rates when computing the costs of studying abroad.
- Failing to retain documents of the payment of the student visa fees, which are likely to be requested during the interviews.
- Selecting unwarranted premium services that do not add value to VFS.
At one point, one of the students chose to develop several premium add-ons, which inflated his VFS bill, even though the standard processing would have done the same job.
How to Budget Student Visa Fees Smartly?
In order to organise your student visa without problems, you need to:
- Never pay any amount for a visa application fee without checking the official fee rates on the embassies' websites.
- Break up embassy charges and VFS charges as you plan the finances.
- Add the visa costs to your overall study abroad expenses.
- Have a buffer of 5-10% to cover fluctuations in currency and student visa costs.
Applications should be submitted earlier, as urgency can affect VFS charges for premium services.
Financial transparency in student visa fee planning will ensure a less turbulent visa process.
Final Thoughts: Be Financially Prepared for the Visa Process
Student visa fees are not only about numbers; they also involve understanding the structure of the visa application cost.
The fee of the embassy plus VFS fees are added to your total student visa fee, and these fees have a direct effect on your total study abroad costs. In my case, the students who manage their finances well are more confident in the interviewing and documentation process.
